When an AI project needs a custom software partner

Look beyond the response box

Map what happens before and after the model produces an answer. Someone may need to assign a case, review a proposal, approve a change, or investigate a discrepancy. Those activities require understandable states and interfaces. If the workflow depends on employees copying information between several tools, ask whether the proposed AI experience actually improves completion or simply adds another screen.

Identify the system of record

Determine where accepted business data lives and how the new application references it. Avoid creating an unplanned second authority for customer, order, or project information. A custom software partner should explain how updates are validated and reconciled. Ask what the employee sees when the destination changes during review, and how the application prevents an old proposal from silently overwriting newer work.

Assess engineering and release discipline

Request a walkthrough of testing, deployment, rollback, and maintenance for the whole application. NIST’s secure development framework offers a reference for development practices; it does not certify a vendor merely because the vendor mentions it. Inspect the proposed evidence and responsibilities. A project may use established components effectively, provided the partner can explain their boundaries and how your workflow depends on them.
