Compare AI agency proposals beyond the headline price

Normalize scope, dependencies, acceptance, and operating responsibilities before comparing commercial offers.

The practical answer

Compare proposals by putting their deliverables, assumptions, exclusions, and operating responsibilities side by side. Two prices are not comparable when one covers a prototype and another includes integrations, deployment, training, and support. Resolve those differences before negotiating the commercial structure or choosing the lowest apparent total.

Normalize the definition of finished

Extract what each vendor promises to deliver and who accepts it. Separate a demonstration from a usable employee workflow and from a supported operating service. For each proposal, identify whether data preparation, application access, exception handling, and launch assistance are included. Do not fill gaps with optimistic assumptions; turn each gap into a written clarification for the vendor to answer.

Expose dependencies on your organization

A proposal may depend on timely API access, clean documentation, internal engineering capacity, or a subject-matter reviewer. List those dependencies alongside the agency’s work. A lower fee can reflect more effort expected from your team rather than greater efficiency. Compare proof and uncertainty

Ask how each candidate will demonstrate that the workflow meets its requirements. Look for tests of real exceptions, permission boundaries, and incomplete actions, as relevant to the system. Can a prototype quote be compared with a production quote?

Only after separating the stages. Compare prototype scope with prototype scope, then identify the additional work each route needs before operational use.
